The Opportunity:

Join our engineering consultancy and help keep our office running smoothly. In this varied role, you'll provide exceptional front-of-house service, support daily office operations, coordinate facilities and supplies, and assist with administrative and finance tasks. We're seeking a proactive, organised professional who enjoys supporting people and creating a positive workplace experience.

In this role, you will:

  • Answer & screen incoming phone calls, taking messages and re-directing calls as required
  • Welcome clients and visitors to the office
  • Assist clients / visitors sign-in process
  • Maintain the reception, boardroom, meeting and Zoom rooms, ensuring they are kept tidy
  • Open, sort, log and distribute incoming mail
  • Book couriers
  • Arrange catering for Directors and internal meetings
  • Manage site car usage
  • Liaise with office vendors such as handyman and electricians to fix maintenance and repair issues
  • Assist HR in providing labelled PPE items for new starters (i.e.: hard hat labels).
  • Reconcile the cab charge receipts and Uber account– monthly
  • Assist Workplace & Events Manager with monthly credit card receipts.
  • Maintain and order office stationery supplies
  • Order office kitchen supplies
  • Check all printers across the office and ensure paper supplies are kept full
  • Ensuring kitchen cupboards and stationery cupboards are kept in a neat and orderly fashion
  • Other office support as required

Who are we looking for?

  • At least 2 years’ experience in a similar role
  • Proficiency in MS Office skills (Outlook, Word, PowerPoint, Excel).
  • Strong organisation skills and the ability to multitask
  • Excellent attention to detail
  • Proactive attitude
  • Excellent time management and the ability to prioritise work
  • Problem solving/analytical skills
  • Excellent communication skills i.e. verbal and written.
